QUESTION: We are ready to create our referral campaign for next season. Should we keep the
current campaign open? Or shut it down and launch a new campaign.
This is a great question and there are pro's and con's to each decision. It comes down to deciding how much you plan to alter the campaign.
If you like your current campaign as it is, then you can keep the current campaign running by simply
extending the end date.
This works if you are happy with the campaign as it is and want this to be your ongoing camp
referral program. If you intend to alter it significantly (i.e. terms, rewards, audience, etc., then
you should probably create a new one).
By continuing the same campaign, Ambassadors can continue to use their same share links.
One downside is that you will have data from multiple years, and it may not be as easy to
determine the success of this year vs last year.
If you plan to make significant changes to the rewards, audience, terms, etc., then we highly
recommend closing out last year's campaign and creating a new one.
Most camps close out last year's campaign and create a new campaign. Shutting down last
year's campaign will cancel all the share links and access to landing pages and dashboards.
It is possible to copy the closed campaign to become an Incomplete campaign. Then you can use
it as a draft to start your new campaign.
You will start a brand-new campaign and follow the same process of testing and launching. All
data will pertain to this new campaign and all Ambassadors will need to join the new campaign.
QUESTION: What is the Public Link?
The Public Link is a link that sends potential Ambassadors to the Ambassador Landing Page where they come to join your campaign. When a potential Ambassador arrives at the Ambassador Landing Page via this Public Link, the Camp Tree system does not know who they are. Only after they enter their contact information (FirstName, LastName, Phone, Email) and confirm the Terms, will Camp Tree record them as newly Joined Ambassador.
Once a campaign is launched, the Public Link is the best way to continue promoting your campaign to potential Ambassadors. The more you share it, the better chance you have of getting potential Ambassadors to join a campaign. With Camp Tree, you are now shifting your marketing to your camp families and this is a big advantage. They know all about you and are better educated and prepared to promote you. But they too are busy, so they may need multiple reminders to take note of the referral program.
You can also turn your Public Link into a QR code. Then share the Public Link or QR code everywhere your families are - on newsletters, brochures, parent portals, business cards, and more. Click HERE for a list of 17 ways to promote your referral program.
QUESTION: How do I determine how many camp accounts I need?
Most camps will have just one Camp Tree account and setup one camp. With one account, you have the ability to create multiple campaigns - camper, staff, day, overnight, etc.
But if you have different geographic locations, different camp names, logos, etc. that are managed by one, larger organization, then you should have the ability to create one master account that contains up to 5 different camp entities. The first account is full price but any added camps (2-5) receive a 25% discount.
QUESTION: What rewards work best?
That will depend on your camp, your budget, your audience and so much more. This is part of creating
your referral strategy.
Some camps offer more to their Ambassadors because they are doing the work by helping to
promote your camp. Camps share larger rewards with the Ambassadors to incentivize and thank
them for bringing their friends to camp. Consider that some camps pay recruiters up to 25% of
revenue for recruiting new campers. We encourage camps to be very generous with their camp
families as there are so many benefits of keeping the money in the camp family.
When it comes to Prospects, some camps choose to give a percent or $ amount off of tuition.
This is by far the easiest to manage. Simply create a promo code in your Camp registration
software and enter that promo code in the Prospect Rewards section when you setup your
campaign. When a Prospect claims their promo code (on the Prospect Landing page), they are
redirected to your camp registration site. They can use the promo code and immediately receive
their tuition discount. The Prospect is thrilled and they've received their reward! And…if they
ever cancel, the money is reverted back and the accounts are cleared.
However, it is also possible to give a gift (i.e. camp swag), or offer store credit. In this situation, it
is important to tell the Prospects where to enter the Promo/Gift code when they register so that
you can confirm the registration in the Camp Tree system.
No matter what gift they get, you will be able to run a report in Camp Tree and confirm which
Ambassadors and Prospects have earned rewards and whether or not they have been paid out.
