About the Camp Tree Email Template
During a running campaign, the Camp Tree app will send up to 8 automated emails. The email template allows you to fully customize each email to reflect the tone and message you wish to convey. We intentionally created a template that is simple and clean, believing that plain text looks more like a letter you would send to a friend.
Below are the customizable sections of the Camp Tree email template:
- Subject: The subject is what people see when they receive the email in their email provider.
- Default Content: The Camp Tree template will automatically include the Camp Name, Camp Logo, Camp Colors, and Camp Mission Statement to give it a customized look.
- Heading: Create a heading that grabs their attention.
- Subheading: Create a subheading that summarizes the purpose of the email.
- Merge Tags (required): Any required merge tag must be used (at least once) in the Body of the email. Simply place the curser in the email and click the orange {{{merge-tag}}} to place it in the email.
- Merge Tags (optional): Additional merge tags are available to help customize and personalize the email.
- Body: The template provides sample content but each email should be customized, edited, and convey your camp’s personal voice. Pretend you are emailing a single person, what do you want them to know?
- Preview: Click the Preview button to see a sample of the email you’ve composed. Be sure the email messaging
matches the purpose/topic of the email.
TIP: You may find it easier to create your emails in MS Word (or similar) and copy and paste them into Camp Tree. This allows you to view and edit it before copying it over.
Here are the 9 emails that will be automatically sent from the Camp Tree system:
Emails to the Ambassadors (5):
- Initial Invitation Email: This is the first email to be sent when launching the campaign. This kicks off the campaign by sending potential Ambassadors an email inviting them to join your campaign. It should explain the campaign, why you are inviting them, what you need them to do, and redirect them to the Ambassador Landing Page to join.
- Confirm Email Email: When using the Public Link to invite potential Ambassadors to join a campaign, the Camp Tree system will ask them to confirm their email (to prevent spam and fraudulent emails). Only Ambassadors who join from the Public Link will receive this email.
- Confirm Enroll/Unique Link: As soon as a potential Ambassador agrees to the Terms and joins a campaign, they are directed to their Dashboard…and they receive this email. Thank them for joining, tell them what they are being asked to do, remind them of the rewards they can earn, and encourage them to share their unique link/QR code.
- Confirm Promo Code Claimed: When a Prospect enters their contact information (name and email), they become an official “Referral” and have claimed their code. Their Ambassador will receive this email that
their friend (Prospect) has claimed a code and is interested in camp. Use this email to thank your Ambassador and encourage them to keep encouraging their friend and inviting more friends. - Confirm Registration: This email is sent to an Ambassador when you confirm that a Registration (or whatever you’ve defined as the final step for the Prospect) occurred. As soon as you “approve” a Registration in the Verification section of the campaign, this email goes out to the Ambassador to congratulate them. Their Prospect has completed the final task, and the Ambassador has earned the Ambassador reward.
Email to the Prospects:
- Promo Code Claimed Email: When a Prospect submits their contact information (name, email, phone (optional)) on the Claim Code side of the Prospect Landing page, they are officially interested and ready to register. Immediately, the Claim Code pop-up page will open for them to get their promo/gift code, view instruction on how to use the code and get a link to redirect to the registration (or application) page. This email will be immediately sent to them and include their promo code. In addition to the required promo/gift code, we strongly suggest adding the registration link and any information they will need (links, instructions, contact info) when they go to register.
Emails to the Camp :
- Prospect Promo Code Claimed Notification: As soon as a Prospect submits their information in the Claim Code section of the Prospect Landing page, Camp Tree will send an automated email to the email address on file in the Camp Setup section. This email will notify the camp of the contact information of the new Prospect.
